Introduction
Synops ("we," "our," or "us") is built on a single core principle: your meeting data stays on your device, always.
Synops is developed by Keeping Up With Technology Pty Ltd. This Privacy Policy explains what permissions the App uses, what data is stored, and how it is handled.
Our Privacy Commitments:
- On-Device Everything: All recording, transcription, and AI analysis runs entirely on your iPhone or Apple Watch — nothing is sent to our servers or any external service
- No Accounts: We do not collect names, email addresses, or any personally identifiable information
- No Cloud Storage: Your recordings, transcripts, and meeting notes never leave your device
- No External AI: All AI processing uses Apple Intelligence, running on your device
- No Analytics or Tracking: We do not collect usage data, crash reports, or behavioural analytics
- No Third-Party SDKs: Synops contains no advertising, analytics, or tracking libraries

Permissions We Request
Synops requests the following device permissions. Each permission is used solely for the specific purpose described below and is never used to collect or transmit data externally.
Microphone
Why: To record audio during meetings.
What happens: Audio is captured by your device's microphone and written directly to an encrypted file on your device. It is never streamed or uploaded anywhere.
What we don't do: We do not stream, transmit, or upload audio to any server or service.
Speech Recognition
Why: To convert your meeting audio into a text transcript.
What happens: The App uses Apple's on-device speech-to-text frameworks. Transcription runs entirely on your device.
What we don't do: Your audio is not sent to Apple's servers for transcription. All transcription is performed by on-device models.
Calendars
Why: To allow you to select an upcoming calendar event as the source for a new recording.
What happens: The App reads your upcoming calendar events (next 7 days) to display a picker. Calendar data is used only for display in the App and to pre-fill meeting details.
What we don't do: We do not export, store (beyond the meeting record you create), or transmit your calendar data. We do not modify, create, or delete calendar events.
Reminders
Why: To allow you to export AI-generated action items directly into Apple Reminders.
What happens: When you choose to export an action item, the App creates a reminder in your Apple Reminders app on your device.
What we don't do: We do not read your existing reminders. We do not transmit reminder data externally.
Data Synops Creates and Stores
All data created by Synops is stored exclusively on your device in an encrypted SwiftData database and protected file system.
Audio Recordings
- Format: MPEG-4 AAC (.m4a), mono
- Storage: App's Documents folder on your device
- Encryption: Protected with iOS file protection — files are encrypted at rest and inaccessible when the device is locked
- Retention: Stored until you delete the recording or the App
Transcripts
- Content: Full text of your meeting, generated by on-device speech recognition
- Storage: SwiftData database on your device
- Retention: Stored until you delete the meeting
AI-Generated Meeting Analysis
- Content: Summaries, key decisions, action items, risks, follow-up drafts, topic tags, meeting scores, sentiment analysis — all generated by Apple Intelligence running on your device
- Storage: SwiftData database on your device
- Retention: Stored until you delete the meeting
How Your Data Is Protected
File Encryption
Audio files are stored with iOS file protection level .completeFileProtectionUnlessOpen. This means files are encrypted with a key derived from your device passcode and are inaccessible when your device is locked.
Database Encryption
The SwiftData database storing your meetings, transcripts, and analysis is located in the App's protected Documents directory, covered by iOS data protection.
App Sandbox
iOS app sandboxing prevents any other app on your device from accessing Synops data.
No Network Transmission
Because no data is ever sent over a network, there is no risk of interception in transit.

We want to be explicit about what Synops never collects or transmits:

We have no backend server, no database, and no telemetry infrastructure. We simply cannot collect your data because there is no mechanism to do so.
Apple Services Used On-Device
Synops uses the following Apple-provided frameworks. All of these operate entirely on your device.
Apple Intelligence (FoundationModels)
- Purpose: Generate meeting summaries, extract decisions and action items
- Data processed: Meeting transcripts (text only — not audio)
- Processing location: On your device, using Apple's on-device language models
Apple SpeechAnalyzer (iOS 26+)
- Purpose: Convert recorded audio to text transcript
- Processing location: On your device
Data Retention and Deletion
Because all data is stored on your device, you have complete control over it:

Legal Basis for Processing
The App processes data locally on your device. The only personal data processing activity that involves us as a data controller is our handling of any support requests you voluntarily submit by email.
